Most resumes are read by software before a human. Here is how applicant tracking systems parse your CV β€” and the exact rules to pass them.

What an ATS actually does

An Applicant Tracking System (ATS) is the software employers use to receive and manage applications. It does three things that matter to you:

  1. Parses your resume into structured fields (name, contact, experience, education, skills).
  2. Ranks you against the job description using relevance and keywords.
  3. Searches the candidate database by keyword long after the posting closes.

The ATS is not usually a gate that automatically deletes you β€” it is a filter that determines whether a human ever sees your name. If you do not match, you quietly disappear.

Formatting rules that parse cleanly

  • Single column. Multi-column layouts scramble the reading order.
  • Standard section headings: Experience, Education, Skills, Certifications.
  • No tables, text boxes or graphics for content.
  • No headers or footers for critical information β€” some parsers drop them.
  • Standard fonts (Arial, Calibri, Helvetica, Georgia).
  • Text-based PDF or .docx. Never a scan or image.
  • Dates as MM/YYYY or Mon YYYY, consistently.

Rule of thumb: if you cannot select the text with your cursor, an ATS probably cannot read it either.

Keywords: match the job description

Recruiters search the database using the language of the job posting. Your job is to mirror it.

  • Copy the exact terms: if they write "Google Analytics", do not only write "web analytics".
  • Include both the acronym and the full form once: Search Engine Optimization (SEO).
  • Place the most important keywords in your summary, skills and most recent role.
  • Do not keyword-stuff. Relevance and honesty still matter, and white text tricks are detected.

The bullet formula that ranks and persuades

Every experience bullet should follow:

Action verb + task + measurable result

  • "Reduced customer churn by 18% by rebuilding the onboarding flow."
  • "Managed a €2M budget across 4 vendors, delivering 3 projects on time."

Numbers make bullets memorable to humans and relevant to keyword rankings.

Ten mistakes that hurt ATS scores

  1. Fancy multi-column or infographic resumes.
  2. Headings like "Where I've Been" instead of "Experience".
  3. Skills buried in paragraphs instead of a clear list.
  4. Missing keywords from the job posting.
  5. Inconsistent job titles or dates.
  6. Photos, logos and icons that add nothing and confuse parsers.
  7. File names like final_v3.pdf instead of Firstname-Lastname-Resume.pdf.
  8. Applying with a generic resume for every role.
  9. Typos in keywords (the ATS matches strings, not intent).
  10. Sending a scanned or password-protected file.

Tailoring in 10 minutes

  1. Paste the job description into a notes file and highlight the top 10 keywords.
  2. Make sure 8 of them appear naturally in your summary, skills and latest role.
  3. Swap one or two bullets to match the role's priorities.

ATS software rarely "rejects" you on its own; it ranks and filters. Recruiters then search the database with keywords. If your resume does not contain the right terms, you simply never appear in the results.

Modern systems read text-based PDFs fine. Avoid scanned images and PDFs exported from design tools that turn text into graphics. When in doubt, send a text-based PDF or Word file.
